WHAT ARE ESCAPES WITH E's TERMS & CONDITIONS?

Please Read Carefully Before Booking Your Escape

Escapes with E, LLC (hereinafter referred to as “our” “us”). Please review these terms in detail as by purchasing any travel product or service you agree you are entering into a contractual relationship with Escapes with E.

Risks/Safety

Travel to certain destinations may involve greater risk than others. Escapes with E, LLC urges customers to remain informed on a daily basis as to current news events, as well as to review travel prohibitions, warnings, announcements and advisories issued by the United States Government prior to booking travel to international destinations. Information on conditions in various countries and the level of risk associated with travel to particular international destinations can be found at:

The Smart Traveler Enrollment Program (STEP) is a free service provided by the U.S. Government to U.S. citizens who are traveling to, or living in, a foreign country. STEP allows you to enter information about your upcoming trip abroad so that the Department of State can better assist you in an emergency. Registration is recommended and provided by going to https://step.state.gov/step/

Pricing Policy (Payments, Deposits and Invoicing)

All group trip prices are as posted on the Escapes with E website at the time of booking. Please check the trip details to see if airfare is included or not. Trips are priced per person, based on shared occupancy. *Single rooms may be available at an additional cost and the prices will be listed where applicable. Prior to booking, prices are subject to change without notice.

If you are using our payment plan option, you must submit a non-refundable, non-transferable, per person deposit (specified deposit will be listed on trip detail page) at the time of booking to reserve your space.

You may submit payments to Escapes with E by check, money order, online transfers or credit card. Money Orders or Cashier’s Check can be mailed to:

DEPOSITS: A deposit is due at the time of reservation. All deposits are non-refundable and non-transferable.All reservations (except where specified) will require a deposit and will be clearly noted the amount due and monthly payment plan.

PAYMENT SCHEDULE: As a courtesy we offer payment plans for our trips. Your monthly payments start the following month after booking on the same day you paid your deposit. A monthly payment of the minimum amount due is required each month via debit. You may contact us to change your payment date after booking prior to 72 hours of your payment date. Our system sends courtesy reminders about your upcoming payment but you are responsible for ensuring your payment is successful and your card is up to date.

LATE PAYMENTS: We understand that sometimes your payment may be submitted late for various reasons. Late payment reminders will be sent to you automatically. If you are aware that your payment will be late, please let your agent know prior to the due date. Late payment fees are at the discretion of the agent.

DECLINED PAYMENTS: If your payment is declined we will attempt 2 consecutive days, and you will receive an email notifying you of declined payment. The traveler has two days to respond to email to update payment information. If a 3rd attempt fails, you will be charged an interest fee.

Traveler understands and agrees to satisfy their balance in full no less than 60 days prior to the date of arrival (unless otherwise stated). Should traveler fail to submit the final payment 60 days out, a $50 late fee will be assessed each day until the balance is paid. If any traveler fails to reconcile their balance prior to 45 days of departure, their trip will be automatically canceled.

MISSED PAYMENTS: Once you miss two monthly payments your trip is subject to cancellation. Once your trip is cancelled you will be notified via your email.You may reinstate your trip within 7 calendar days of cancellation by paying the full amount past due.

Refund and Cancellation Policy (Refunds, Trip Cancellation and Disrupt Policy)

Due to the vendor relationships that Escapes with E has with it’s vendors, we try to keep from modifying or cancelling our contractual agreements. Cancellations affect the entire group traveling. You have 24 hours from the time of booking to cancel a trip for a full refund. After 24 hours, the trip deposit – and all future payments – are non-refundable. After 24 hours, penalties and fees may be incurred for cancellations and transfer to another person or date.

Escapes with E does not have control over the form of refund issued by some airlines and or travel suppliers. Some travel suppliers may not provide refunds (in cash) and/or credits. Many airlines will issue travel vouchers as a method of refund.

Please look at the payment page for the refund/cancellation policy for your specific trip. Escapes with E has no control over individual supplier policies. We highly recommend looking at the refund policies for your designated supplier prior to booking.

FORCE MAJEURE

“Force Majeure” means, in relation to Escapes with E LLC, any circumstances beyond the reasonable control of Escapes with E LLC, (including, but without limitation, acts of God, explosion, flood, tempest, forceful wind, fire or accident, war or threat of war declared or undeclared, acts of terrorism, sabotage, insurrection, riots, strikes, civil disturbance, requisition, sickness, quarantine, government intervention, weather conditions, defects in machinery and vehicles, delay, wildlife, or other untoward occurrences).

Escapes with E, LLC shall not be deemed to be in breach of these terms and conditions or otherwise be liable to you, by reason of delay in performance, or by non-performance, of any of its obligations hereunder to the extent that any such delay or non-performance is due to any Force Majeure. THE PURCHASE OF TRAVEL INSURANCE IS HIGHLY RECOMMENDED ON ALL TRIPS.

Travel Insurance

Travel insurance is not required but strongly recommended in order to protect your investment.

All Escapes with E proposals will include trip cancellation coverage, unless denied in writing at time of booking. Trip cancellation insurance is the only means of receiving reimbursement for flights and other non-refundable expenses should you cancel your trip for any reason, whether voluntarily or as a result of Escapes with E actions.

IMPORTANT: Travel protection plans generally do not cover losses related to COVID-19, including due to government-imposed travel bans or other travel restrictions related to COVID-19.

Tour Availability, Pricing, Late Bookings and Changes to Occupancy

Package pricing is subject to change at any time prior to a confirmed booking with a deposit received. The package price may be increased or decreased without warning until a deposit has been received.

Occasionally, we may offer discounted pricing based on inventory which is not retroactive to previously purchased bookings. *Meetup members will have first access to trips and will occasionally receive discount coupons.

Any changes in occupancy done post booking will be done at the current pricing available.

Unused Arrangements and Minimum Passenger Requirements

As Escapes with E’ tour prices are based on contract rates, there will not be any refund for any unused portion of a tour. Some group tours are based on minimum numbers of passengers traveling; if the number of passengers falls below the minimum required, a surcharge may be imposed or the tour may be canceled.

Roommate Policy, Roommate Matching, and Payment Responsibility

It is all of the roommates’ responsibility to insure that your companions are making their monthly payments on time, to avoid the adjustment of the reservation occupancy rate to match the number of travelers occupying the room. In this case, the remaining roommate will be responsible for paying the difference for the new single occupancy adjusted rate.

We will attempt to pair you with another client, of the same gender, who also needs a roommate as a courtesy. However, if 90 days before your trip, you do not have a roommate; you will be required to pay the single occupancy supplement for your trip, and your balance will be updated to reflect the new occupancy.

We are not responsible if roommate situations do not work out. We highly suggest you make contact with the proposed roommate within 72 hours of notification before any changes occur.

If a disapproval is not received in writing, your agent will proceed with the roommate matching.

​Roommates must complete separate registration forms and submit their deposits within 24 hours of one another in order to secure a reservation if they intend on paying separate deposits.

Once the registration forms and deposit is received each roommate can make their monthly payments by the specified payment due date.

All reservations must state who will be sharing rooms on the registration form. Resorts and hotels have the right to either forfeit or charge an additional fee at the current rate for reservations that does not state the correct occupancy upon arrival.

Passport and Visa Information/Requirements

It is each traveler’s responsibility to have a passport valid for at least 6 months beyond the dates of travel and a visa if required. 

 IMPORTANT: Passengers who are not U.S. citizens must check with the respective consulate or a visa agency to determine what personal identification is required. Passengers who enter, leave and then re-enter the same country on their itinerary should check if they require a double-entry visa. Passport applications are available at most U.S. Post Offices, as well as at regional Passport Agencies. Passengers requiring visas, whether obtained in advance or locally upon arrival, should ensure that their passport has blank pages.

Passports are required for all U.S. citizens traveling abroad. Due to TSA Secure Flight requirements, you must enter all traveler names on your reservation exactly as they appear on each traveler’s passport, including titles such as Jr. or Sr. and any multiple first, middle or last names.

If inaccurate information is provided, airlines may charge penalties to make corrections or even deny boarding. Any changes in names or passport information should be reported to us immediately via email.

Be advised that any name changes or changes in passport information after you complete your booking may result in additional fees. It is strongly suggested that passengers check with the respective consulate(s) or visa agency to determine whether any visas or passports are required.

VISA: ​A visa may be required for certain international travel and is the traveler’s responsibility to insure the proper documents are submitted on time and a visa is obtained prior to the traveler’s departure date. Many countries require passports to expire 6 months post travel and 1-2 blank pages.

GROUP EXCURSIONS & THEMED EVENTS:

Note: A Minimum of 2 people is needed to operate any tour. Some tours have a max of 15 people, so groups may be split up in two small groups to accommodate anyone interested. Excursions can be added later; but must be added NLT 90 prior to departure (subject to availability).

Themed Events (typically a color or style of outfit) may occur on group bookings. It is optional to participate, however if you do choose to participate, we ask that all travelers adhere to any requirements provided by your travel agent in order to have a cohesive group. Themed events will be provided NLT 30 days prior to travel.
